My GroupLane

Benefits changes, handled from your phone.

Managers send new hires, hours changes and departures in English or Spanish. GroupLane reviews each one, and you can see where it stands at any time.

My GroupLane on two phones: an Add a new hire form on the left, and a Change requests list showing the status of each request on the right.

What you get

How My GroupLane takes the admin off your desk

1 portal

One portal for every change, in English or Spanish

Managers and employees enter new hires, departures, leaves, and life events from a phone or computer.

Every change

Every change approved by your adviser before it reaches a carrier

Your adviser, Mark Woeppel, reviews each change before our team sends it to the carrier.

1 calendar

Every yearly deadline on one calendar we keep

Notices, filings, and plan tests are tracked by date, and we tell you ahead of time when something needs your signature.

What’s included

What GroupLane handles for you

Your managers make the changes. Our team handles the carrier work, the payroll report, and the federal paperwork.

Benefit changes in one portal

Managers and employees make changes in one portal, in English or Spanish, on a phone or computer: new hires, departures, leaves, marriages, births, and address or name changes.

The result

You get a confirmation when we receive each change and another when the carrier has it.

Carrier updates

Our team sends each approved change to the carrier through that carrier’s approved channel, either its online portal or an enrollment file. Your adviser approves every change before it goes.

The result

Carrier records match your employee list, and you know who sent what and when.

Payroll report and bill checks

Once a month, payroll gets one deduction report. We reconcile each carrier bill against your employee list.

The result

You stop paying for people who left, and you don’t miss anyone who should be covered.

Eligibility tracking

We track hours, waiting periods, and enrollment windows. Once you have 50 or more full-time employees, federal rules require you to offer coverage to anyone working 30 or more hours a week, and we watch that line for you.

The result

You have a record of every offer and every decline, for every employee.

COBRA notices

COBRA is the federal law that lets people who leave your plan keep their coverage for a time by paying for it themselves. We send the required COBRA notices on time and track each one. You collect the COBRA payments. Not sure COBRA applies to you? See when you must offer COBRA.

The result

Deadlines are met and documented, without anyone on your staff counting days.

One portal and one adviser for everything on this page.

Payroll

One deduction report a month, for any payroll system

Your payroll person or provider gets one plain spreadsheet each month. It works with any payroll system because there is nothing to connect.

If your plan is self-funded or level-funded

A self-funded plan pays employees’ claims from company money. A level-funded plan charges you a set monthly amount toward claims, with insurance against large ones. Either way, the federal paperwork that an insurance company would handle becomes yours.

We prepare the documents, run the tests, and keep the yearly calendar. Fully insured plans carry fewer of these duties, and we serve those employers too.

Plan documents

  • A written plan document and a plain-language summary for employees.
  • A one-page summary of benefits and coverage handed out at enrollment.
  • A premium payment plan that lets employees pay their share of premiums before taxes.

Yearly fairness tests

Each year we test the plan to confirm it does not favor owners or higher earners over everyone else.

The yearly calendar we keep

  • Medicare drug coverage notice to employees, and the matching report to Medicare.
  • Yearly statement that your plan does not block access to its cost and quality data.
  • Federal tax forms that report who had coverage each month.
  • Prescription drug cost report to the federal government.
  • Yearly research fee owed to the federal government. We track the due date; you file and pay it.
  • A check on whether your plan owes a yearly federal plan report.

What stays with you

GroupLane does not collect premiums or employee contributions and does not make claims decisions.

How pricing works

You pay a one-time setup fee, followed by a monthly fee for each enrolled employee. Employees who decline coverage do not add to the cost.

Call us or send your employee count, and we will quote the setup fee and monthly rate.

How it works

Five steps from your employee list to a working plan

1

You send your employee list

Names, hours, and wages for everyone on payroll. We use this information to determine eligibility and waiting periods.

2

We set up the portal, your plan documents, and your notices

Managers and employees receive access in English or Spanish. We also prepare the documents required for your plan.

3

Your managers enter the changes, and we send them to the carriers

After your adviser approves a change, we send it to the carrier. You receive a confirmation at each stage.

4

Each month, we check the bills and send payroll its report

We check carrier bills against your employee list and send payroll one deduction report.

5

Each year, we run the tests, prepare the filings, and review your renewal

You sign the required documents. Before you make a renewal decision, we review the numbers with you.
